How do I access Microsoft Teams?

The Teams application is being deployed to all faculty and staff computers and will be included all newly issued computers. There are two ways to access Teams, the online version is available through One Access at broward.onelogin.com and by selecting the Office 365 Portal the other is through the desktop application.

Teams is set to automatically start, if it doesn’t appear please double click the Teams icon on your desktop or access Teams through the application list.

 

What are teams and channels?

Answer: Teams are a collection of people, content, and tools surrounding projects within an organization. Teams can be private for only invited users or public which is open for anyone within the organization to join. Conversation, files, and notes across team channels are only visible to members of the team. Channels within teams are places where conversations happen and where work is conducted. Q: How do I create a Teams site?

  1. Click Teams on the left side of the app, then click Join or create a team. at the bottom of your teams list.
  2. Then click Create team.
  3. Choose Build a team from scratch.
  4. Next, choose the team type that best fits your team’s structure and objectives. For a description of each team type select here: Team Type
  5. Name your team and add an optional description.
  6. When you're done, click Create.

Q: How do I chat in Teams?

Answer: on the top left of the Teams app, click New chat. In the To field, type the name of the person or people you want to chat with. In the box, enter your message and then click Send.  Spell checker will automatically flag words needing correction. In the event you need to modify your message after it’s sent, you can edit by selecting the more options of your sent messages only.

Q: How do I create a group chat?

A: From the compose new message windows, click on the drop-down arrow to create a new Group chat. You will notice when you click in the drop-down, the option to specify a group name appears and you can add the team member names.

Q: How do I manage and organize my Chat Contacts?

A: Go to the Contacts section of Chat in Microsoft Teams and click Create a new contact group at the bottom of the panel. Type the name of your contact group and click Create. Your new contact group will appear in the Numeric-Alpha order. To keep a group toward the top, you can place a number in front of the group name. (01, 02, etc.). You are now ready to add contacts to the Group.

 

How do I create a Teams calendar invite?

 

Answer: When scheduling a meeting in Outlook, select Teams Meeting on the top ribbon. For this option to show up in Outlook you must have the Teams desktop application installed and previously logged into Teams.

Q: I’m the host of a meeting where I will be presenting, can I restrict participants from presenting and taking control?

A: Yes, when setting up the meeting invite, click Meeting options before sending the invite.

You’ll be asked to log into Microsoft’s website via One Access.

Q: Can I change the background in a Teams video meeting?

A: Yes, there are many backgrounds to choose from our you can add your own.

Q: What are the maximum number for participants in a Teams meeting?

A: The maximum number of participates to join a Teams meeting is 300. Microsoft is working to expand the number in a future release.

Q: Can I change my Teams profile picture?

A: You can have your Teams profile picture updated by opening a helpdesk ticket Teams Helpdesk Ticket . Attach a picture in .jpg format no larger than 4mb file size.

Technical Issues

Q: What if participants hear an echo during a meeting?

A: An echo can be caused by a participant not having a good connection to Teams or a participant dialing in from a cell phone. Muting participants starting with those who may be calling from a cell phone is a process of elimination of which participant is causing the echo.

Q: Is Teams available for Broward College students?

A: Students with a valid @mail.Broward.edu email address can be invited to participate in a team as a guest. Students who try to login directly with their student account will receive a message “Ask your admin to enable Microsoft Teams for Broward College”. This does not affect faculty and staff; student accounts do not have direct access to Teams unless they are invited as a guest.
